At the time of reservation you must provide us with your full name as it appears on your passport as well as your date of birth. By making a booking with us through any of the three methods you will be deemed to have agreed to our information, Terms and Conditions.

Once you have submitted your enquiry through our website, you will receive a CR reference number and a bounce back email to the email address provided. This reference number is confirmation we have received your enquiry and we will come back to you shortly with the details of your booking please be aware, this is not a confirmation and is only a summary of your booking request. We will hold the cabin in your name for up to 5 days as controlled by the cruise line themselves. On some cruises, the payment may be required on the day of booking or within 1-5 days of making the booking as controlled by the cruise line.

Once we have held a cabin, we will contact you via phone or email, to advise of availability and confirm the price and details. A booking is confirmed when you have been received an email confirmation notice and should you wish to proceed, we will provide you with our payment options to make your deposit payment (or full payment if the cruise is within 90 days). Your payment then becomes subject to the cancellation policy of the cruise line and Cruise Republic. These are stated in the terms and conditions. When your booking has been confirmed with a deposit payment we will send you your cruise booking number with the cruise line. Once you receive your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date without incurring a penalty. If you are booking via phone, please first make sure you have read the terms and conditions. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the customer to ensure they make themselves fully aware of the terms displayed on our website.

Information disclosure

In booking on/via this website you acknowledge that we disclose your information to your selected Cruise Ship company/operator.

Amendments

Once you have paid a deposit against your cruise, any changes made to the booking will incur an amendment fee of $50 plus any applicable fees set you by the cruise line. Please see the Cruise Company's terms and conditions for cancellation and amendment policy. All amendments are required to be sent in writing by the lead passenger in the booking. Fare amendments are subject to change until confirmed and paid. Any Name Changes must be completed a minimum 72 hours prior to departure

Transfer to a new cruise/fare

From time to time cruise lines may advertise lower promotional cruise fares; these fares are not always available to existing bookings, however Cruise Republic will endeavour to accommodate any request to change to the lower fare. Please note this request is at the discretion of the cruise lines so is not always possible. New promotional fares may affect your current booking, resulting in reduced on-board credit.

If we are able to transfer you at the lower promotional fare a fee of $100 will be applied to your booking. Once final payment has been made for your cruise we are unable to lower the fare.

If you choose to transfer your cruise deposit to an alternative cruise departure this will also incur a fee of $100.

Cancellations

Once a deposit is made towards your cruise holiday it is deemed that you have accepted our terms and conditions, so are subject to any cancellation fees. Bookings cancelled after the deposit is paid, will incur a cancellation fee of $200 per cabin plus any additional cancellation fees set out by the cruise line. There are no cool down periods. Please see the Cruise Company's terms and conditions for cancellation and amendment policy. All cancellations are required to be sent in writing by the lead passenger in the booking. Due to the issuing of refunds via Cheque by the cruiselines, refunds can take 4-6 weeks to reach us should you be entitled to any refund.

Payments

Payments towards your cruise holiday made by credit cards are subject to a transaction fee of 1.5% for Visa and Mastercard payments and 0.5% for Debit Cards. We also accept PayPal with a 1% transaction fee and AMEX which incur a 2.8% credit card fee. Payments made by domestic bank deposit do not incur any transaction fees nor do payments made using the BPAY payment system. Please be aware payments made via bank deposit or BPAY within 24 hours of your booking expiring will require a legitimate receipt/screen shot of payment emailed through.

Flights and Hotels

Flights and Accommodation cancellation fees and amendment fees will apply as set out by the airlines and hotels. An additional $50 per person cancellation fee applies to all hotel cancellations and flight cancellations. All fly/cruise packages are based on the best available flight and hotel at time of pricing and while we may not be able to get the exact airline or hotel we will book a similar acceptable option. Flight packages will all include a free checked baggage allowance and meals.

Onboard Credits

On selected departures we will offer you onboard credits & these may not be combinable with all cabin categories and promotions. We will send you through a confirmation which will confirm if the onboard credit is available against your booking. Making changes to your reservation could result in any onboard credits being removed. Once you have embarked the ship, the onboard credit will be applied to your onboard account to use towards any onboard purchases. Any unused portion of the Onboard Credit will expire at midnight on the last night of your cruise and is not redeemable for cash at any time.

'Guarantee' (GTY) Bookings

From time to time, we may offer you the option of making what we call a 'Guarantee (GTY) booking. This means you may book a stateroom of a guaranteed category type (Inside, Outside, Balcony) on your chosen ship and cruise. However, the exact grade, number and location of the stateroom on the ship will be allocated at the cruise lines discretion and at any time until checking in at the Port. Once your GTY stateroom has been allocated to you, we are unable to accept any changes requested by you. The benefits of a GTY stateroom are that after your booking has been confirmed, the cruise line may (at their discretion) upgrade your stateroom to a higher classed category to that originally booked at no extra charge to you. In any event, you are 'guaranteed' the minimum category you decide to book at the time of the cruise including obstructed view cabins.
If travelling with Family and Friends where you require cabins to be near one another we strongly recommend for you not to book on a Guarantee.
We cannot guarantee your cabins will be assigned near one another, on the same deck, same side or forward/aft on the ship nor accept any requests.

Complimentary Upgrades

Depending on any last minute availability the cruise lines will automatically upgrade cabins to higher categories. The upgrades can place you towards the front of the ship, midships or at the back of the ship and not necessarily on a higher deck level (i.e.: Insides Deck 10 may be upgraded to Ocean view Deck 5). As the cruise lines cannot upgrade every booking, you should book a category in which you are happy to sail. Once the upgrade has been assigned, should you dislike the cabin location we are unable to accept any changes or requests and cannot be reversed.
If travelling with family and friends where you require cabins to be near one another we strongly recommend for you to decline the upgrades. The cruise line do not guarantee all of the cabins will be upgraded, or that they will be upgraded near one another.

Future Cruise Credits

While we are happy to apply your Future Cruise Credits from the cruiselines to your booking with us, this may affect your online discounted pricing. We will still do our best to provide competitive pricing based on the discount we can offer on the new cruise fare once the future cruise credits have been applied to your booking. Please note if Future Cruise Credits are applied after your deposit has been paid may affect your final balance.

Passport & Visa Requirements.

or all international cruises all passengers will require to be in possession of a valid passport. The passport must have 6 months validity on your return date back home.
Visa's may also be required and at the sole responsibility of the passenger. Please check with the relevant embassies or a Visa Services company for assistance.
Cruise Republic will not take any responsibility for passport or visa requirements.

Privacy of your information is an absolute priority to us. When you book we request whether you are interested in receiving further offers from us. If you decline, we will not email you with such offers. We also always give you the opportunity to unsubscribe and opt out of receiving these emails. We treat your details as confidential and we NEVER disclose your information to third parties other than the supplier who is fulfilling your cruise holiday.

All amendments and any cancellations must be approved through the first person named on the booking. In the case of any in-cabin disputes our contract is with the first person named on the booking and we will only follow instructions given by them.

It is important that you carefully read the Contract as you will be bound by it once you have signed these Terms and Conditions or otherwise paid the earlier of your Booking Deposit or the Cruise Fare.

What’s included in the Price?

Where indicated in your Itinerary, the Price includes
(a) all coach and cruise travel;
(b) services of a Cruise Director (if applicable) and/or Cruise Director;

(c) airport transfers outside Australia (refer to clause under “Airport Transfers”);
(d) specified meals;
(e) internal flights (as specified in Your Itinerary);
(f) accommodation;
(g) sightseeing and admissions where stated;
(h) GST (where applicable);
(i) port charges;
(j) all gratuities and tipping on land tours and river cruises operated by us.

What’s not included in the Price?

Unless expressly listed in your Itinerary, costs will not be included in the Price.
In particular, the following costs are not included in the Price:
(a) airfares (unless specified in Your Itinerary);
(b) airline taxes;
(c) gratuities and shore excursions on ocean cruises;
(d) accommodation upgrades;
(e) meals not specified in your Itinerary;
(f) drinks;
(g) laundry;
(h) passport fees;
(i) visas;
(j) vaccinations;
(k) government taxes and charges (excluding GST);
(l) items of a personal nature.

Overnight accommodation required to meet your cruise and any flight connections are not included in the price and will be at your expense.

Booking Deposit

You must pay the Booking Deposit within 5 days of making your Booking.

Any accommodation, sightseeing or flights we book for you separately to those stated in your itinerary are not included in the Booking Deposit or Price and you must pay both the deposits and full costs for such additional services separately to the Booking Deposit and Cruise Price. Any requests for such additional services will not be processed until your Booking Deposit is paid in full.

Your booking will be automatically cancelled if we do not receive your Booking Deposit by the due date.

Booking Deposits are non-refundable and non-transferable (Refer to the “Deposit Protection Plan”).

Booking within 90 days of Tour Departure Date

If you place a booking with us within 90 days or less of your chosen Cruise Departure Date, you must pay your booking deposit before we can process your booking and confirm your price. If you do not accept the price, we will refund your Booking Deposit. If you accept your price, you must pay the outstanding price within 24 hours of us notifying you of the price, or we will cancel your booking and retain your booking deposit.

Final Payment

You must pay the balance to us no later than 90 days before the Departure Date.

Late Booking Fee

If you book 21 days or less before the Departure Date, you must pay a late booking fee of $50.00

Variation Fee

If you vary your booking, other than by varying the Cruise Departure Date, you must pay a variation fee of $50.00. This fee is on account of administrative expenses incurred by us in varying your cruise and is a genuine and reasonable estimate of our expenses. We may accept or reject your request for variation at our absolute discretion.

Additional Online Republic amendment fees may apply.

Cancellation Fees

Any cancellation of the cruise by you prior to your Departure Date (including any changes to your Departure Date or name changes) will result in the following cancellation fees:

We will not consider a cancellation until we have received, during office hours, a written cancellation notice signed by you.

You may also be liable to pay cancellation fees to airlines and other third parties.
You must pay for any additional overnight accommodation required as a result of changes to your flights.
You must pay for all expenses which arise due to changes to your itinerary after your Departure Date. This includes changes due to illness or other personal reasons.

Airfare Conditions

Discounted airfares are subject to availability and conditions apply.

Our reservations consultant will book the most appropriate fare for your Cruise.

Some discounted airfares have conditions which make them unsuitable to be used in conjunction with Our tours. Full details and conditions may be obtained from your travel agent. If you have any questions or concerns please contact our reservations consultant.

Airfares booked as part of your cruise will be through the most appropriate route. If you request a customised route you will be responsible for all additional costs.

Please contact your travel agent for applicable rules and regulations relating to your air travel.

Travel Insurance

You are urged to arrange comprehensive travel insurance to cover any unforeseen circumstances that may occur during the cruise.

 All Inclusive Beverages

(1) All standard beverages are included in the price whilst you are on board a Scenic ‘Space-Ship’. This includes beer, wine, soft drinks and standard spirits. It also includes daily replenishment of the cabin minibars.
(2) Selected items such as high end spirits, including malt whiskey, French champagne and selected wines are not included and will be an additional charge
(3) Responsible service of Alcohol is adhered to by all staff on board. We solely reserve the right to refuse service.
(4) This does not apply to Russia on board the Scenic Tsar or any third party suppliers.

 Scenic Freechoice

All Scenic Freechoice activities can be booked whilst on your Cruise with your Cruise Director (unless otherwise stated) and are subject to availability, seasonal and operational factors. Some activities require a minimum and maximum number of participants to operate.

 Scenic Enrich

It may not always be possible to offer every Scenic Enrich activity in the brochure on your Cruise. Wherever possible, suitable alternatives will be provided without any liability to you.

Scenic Tailormade

Personal devices are provided in all cabins on board a Scenic ‘Space-Ship’ for use both on board and on shore. Not available in Russia.

Entrance fees, gratuities and transportation whilst using Scenic Tailormade are not Included in your cruise price.

Scenic Tailormade tours and their content cannot be guaranteed in all locations.

Deposit Protection Plan

The “Deposit Protection Plan” is provided at a cost of $55 per person per cruise (including GST). The cost is non-refundable and must be paid at the time of booking your cruise. Where you cancel a cruise prior to the invoiced final payment date, and the Deposit Protection Plan applies, we will hold your deposit for our tour/cruise products only (i.e. not products provided by third parties such as air travel) and we will credit that portion of the deposit towards an alternative tour product if you book within 24 months of cancellation. If you do not book within 24 months, your deposit will be forfeited. The Deposit Protection Plan does not, nor is it intended to, replace travel insurance.

Passports and Visas

You must have a valid passport with at least six (6) months validity from your cruise return date.

You must ensure that all required entry visas for countries to be visited are obtained prior to departure as failure to obtain correct documentation may affect Your participation in certain shore excursions and entry to certain countries while on your cruise.

A visa is required to visit Russia and/or Ukraine. Relevant paperwork will be forwarded to you upon confirmation of your cruise and must be returned to Us as soon as possible prior to departure, so we can issue to you an official invitation letter to be included in your visa application to the Russian and/or Ukraine Consulate. It is your responsibility to ensure that a visa authorising entry into Russia and/or Ukraine is obtained prior to departure. Upon issuing an official invitation letter to you, we will not be liable for any failure by you to obtain a visa from the Russian and/or Ukraine Consulate prior to departure. Our invitation letter is not a visa authorising entry into Russia and/or Ukraine.

If you do not have the correct visa or other documentation necessary to enter a country or participate in any aspect of a cruise:

(1) We will not refund you all or any portion of the price;
(2) You will be responsible for any costs you incur as a result of your failure to obtain the required documentation, including any costs associated with rejoining the cruise.

Cruise Prices

We may vary your price at any time only where there is an increase to the cruise costs for reasons outside our control, including airfares, fuel, government taxes and charges, exchange rate fluctuations or other cruise related costs or tariffs. Once we have received the total price from you, there will be no increases to your cruise price regardless of any increases in the cruise cost inside or outside our control.

If you have not paid your full price and we must vary your price due to an increase in costs outside our control, any increase we apply to the price will be only to the extent required to meet such additional costs.

 Cruise Variations

(a) We may change or vary your Itinerary.
(b) Although we will use reasonable efforts to operate the cruise as close as possible to your itinerary, changes or substitutions may be necessary for reasons outside our control. These circumstances may include, but are not limited to:
     (1) road, river or weather conditions;
     (2) national or local holidays affecting the closure of public buildings and attractions;
     (3) strikes; or
     (4) civil disturbances and advices by governments or other Force Majeure Events.
(f) Cruise itineraries may be varied due to high or low water levels, flooding, lock closures, unscheduled vessel maintenance or for any other circumstances beyond Our control.
(g) We may substitute (at the nearest reasonable standard) another vessel or motorcoach for all or part of the Itinerary and also provide alternative accommodation, where necessary.
(h) Where we make a variation to the Itinerary, we are not liable to you for such variations.

 Cruise Participation

(a) We may refuse to accept your booking or participation on the cruise if we, or our Service Providers, are of the view you are unable to fully care for yourself. Unfortunately, we are unable to assist you with walking, dining, getting on and off motorcoaches or other transportation vehicles, or any of your other personal needs.
(b) We welcome you if you have a disability or other special need, provided you are accompanied by a companion capable of providing all the assistance you require. Please note that although we will use reasonable endeavours to provide you with all the activities on your itinerary, depending on your disability, You may not be able to participate in every activity and the cruise director will have the right to refuse your participation if the cruise director believes your health and safety or the health and safety of other passengers may be impacted by your participation. You must advise us of any disability, medical condition or dietary requirement at the time of booking.
(c) It is important to note that:
     (1) some cruise ships do not have elevators, and ships that are equipped with elevators may not have elevator access to all decks;
     (2) wheelchair passengers should be aware that cabin doors and rest rooms are not wide enough to provide access for standard wheelchairs;
     (3) requests for disabled rooms must be made at the time of booking and are subject to availability;
     (4) for safety reasons, passengers in wheelchairs cannot be carried on boarding ramps (which may be steep due to water levels) whilst the vessel is tied up or at anchor, or on to motor coaches; and
     (5) wheelchairs and walkers can be carried in the luggage compartment of motorcoaches subject to space limitations.
(d) We may, in Our absolute discretion, decline Your booking if We are of the view that:
     (1) We cannot provide for any or all of Your special needs;
     (2) Your health, safety or enjoyment, or that of any other passengers attending the Cruise may be at risk; or
     (3) You cannot or will not abide by any reasonable directions of the Cruise Director.

Noise, Vibration and Odour

While We take reasonable steps to minimise noise, vibrations and odours on the cruise ships, You acknowledge and accept that some noise, vibration and intermittent odours may be experienced on vessels and that We will not be liable to You in relation to any such noise, vibration or odours.

Docking Position

During port stops, ships may dock side-by-side, obstructing views and requiring you to pass through other ships to embark and disembark.

Sightseeing on Cruise

Sightseeing in many historic towns and cities can only be undertaken by walking tours as motorcoach access is not possible. An appropriate level of fitness is required as the sightseeing tour may involve steps and extensive walking over uneven surfaces and you should be in appropriate physical condition to participate in the Tour.

Special Diets

You must advise us in writing of any and all special requests and dietary requirements at the time of booking. We will make every reasonable effort to accommodate your dietary requests but cannot guarantee that such requests can be met.

Solo Passengers and Single Accommodation

(a) Prices quoted are on a twin share basis. If your booking is not a twin share booking we will notify you of the applicable Single Supplement Rate, and you must pay the Single Supplement rate for the cruise, at the time of booking.
(b) A dedicated single cabin is available on each Scenic Space-Ship and a limited number of Category E & D cabins are also available on each cruise.
(c) If You are willing to share a room with another single traveller of the same gender, you must pay the Single Supplement Rate. If you remain matched throughout the entire cruise, you will be refunded the Single Supplement Rate within two weeks of completion of the cruise.
(d) We accept no responsibility for the suitability of the allocated rooming partner.
(e) If at any time during the cruise, you consider your rooming partner unsuitable, we will use reasonable endeavours to arrange single accommodation for you for the remainder of the cruise, subject to availability, using the pre-paid Single Supplement Rate.
(f) A limited number of single rooms are available at a Single Supplement Rate for each cruise. In some locations, single rooms are smaller than twin rooms and may not be available. You acknowledge that if there is no availability of single accommodation for the remainder of the cruise, you will be required to continue to share with your nominated rooming partner for the remainder of the cruise.

Young Passengers

(a) Passengers under the age of 21 years (as at the Departure Date) must be accompanied by an adult and share their accommodation with an adult.
(b) Children under the age of 12 years are not encouraged (with the exception of Christmas cruises) and are accepted or rejected at our sole discretion.

Luggage

(a) Guests are entitled to one suitcase per person.
(b) Your suitcase must not exceed 76 x 53 x 28cms (30’’ x 21’’x 11’’) and must not weigh more than 20kg (42lbs).
(c) Personal items should be carried in a travel bag which does not exceed 4kg (8lbs) of weight. In addition, airline passengers should consult with their airline as size and weight restrictions may vary from airline to airline and also according to the class booked.
(d) You must comply with all airline and airport luggage safety regulations.
(e) It is your responsibility to ensure your luggage complies with these requirements and you acknowledge that we, contracted carriers or service providers may elect not to carry overweight items.
(f) You will be responsible for any excess baggage charges imposed by airlines or other carriers. 

Airport Transfers

(a) Airport transfers are only available on the first and last day of your cruise and at times we designate.
(b) Transfers outside these times will be at your expense and must be secured by your own arrangements.
(c) Passengers who have purchased our pre and post cruise hotel accommodation and airfares will be provided airport transfers to/from their hotel at the start or end city only, on the day of the pre or post accommodation booking.
(d) If you do not book your flights with us, you must ensure your flight details are provided to us at least 60 days before the Cruise Departure Date by:
     (1) entering your flight details in the Tour Personaliser at www.scenictours.com.au; or
     (2) phoning our reservations consultant.
(e) No refund will be given for unused transfers.
(f) Transfers cannot be routed to other pick-up points or destinations.
(g) If you miss the pre-booked transfer you will be responsible for making your own way to the departure point, at your own expense.
(h) Airport transfers may be group transfers scheduled to coincide with multiple flight arrival times and departure times.
(i) Private transfers, including Royal Suites transfer are not available in all locations, please enquire for further details.

 Hotel Accommodation

(a) We may substitute hotel accommodation of a similar standard in the place of the advertised hotel.
(b) Although we have taken reasonable steps to secure the most suitable hotel accommodation in the area of the Cruise, we are not liable to you for the quality, size or fitness of hotel rooms.

Cancellation Fees
